Your role in our team:

We are looking for a Sales Operations Specialist with a strong background in CRM management, sales forecasting and commercial performance reporting. This is a pivotal role working closely with key departments to ensure orders are processed in time for shipping and the seamless functioning of commercial operations.

We are looking for an individual who is meticulous, adaptable and adept at resolving discrepancies/issues along with driving initiatives to improve efficiency and effectiveness.

 

Your key responsibilities will include:

  • Monitor and process incoming orders, manage customer requests and information, promptly and accurately.
  • Provide support to new and existing customers regarding set up, order verifications, order updates, payment details and delivery schedules.
  • Utilise HubSpot to provide administrative support to Sales Managers covering pipeline management and assist in reporting on KPIs for opportunity/pipeline management.
  • Triage customer support issues and order discrepancies to relevant teams (Technical Support, QA/QC, Product Management, Sales Team, etc) including status updates to ensure resolution and prevent any potential delivery delays. 
  • Establish strong and productive vendor relationships while liaising regularly with relevant procurement agencies/departments. 
  • Collaborate with internal stakeholders including Sales Managers, Finance, Shipping, Logistics and Quality to ensure seamless order fulfilment. 
  • Support the Senior Manager, Commercial Operations in providing up to date product level forecasting to ensure accurate Demand Planning.
  • Perform data analysis and KPI reporting for sales, product and commercial team performance.
  • Interpret and present data results to identify sales process improvements to enhance efficiency. 
  • Formalise and implement documentation required for sales process improvements. 
  • Maintain the relevant commercial dashboards.
  • Provide support in developing SOPs and training materials in relation to the sales order process.

 

You…

  • Will have a Bachelor’s Degree or equivalent experience in a related subject.
  • Will be a proficient user of HubSpot.

 

With essential experience in…

  • Using HubSpot to support commercial operations. 
  • Order processing systems like ERP software (Enterprise Resource Planning).
  • Order management or similar role with an understanding of commercial operations processes.
  • Advanced Excel skills including the ability to analyse and visualise data.
  • Building sales reports and monitoring opportunities through the sales process.
  • Vendor management, ideally in a product-based company.
  • Microsoft Office Suite (especially Excel) and Google Sheets. 

 

…and possibly…

  • Experience of working within the Life Sciences industry, preferably in a product-based company. 
  • Experience of using Netsuite.
