Your Mission 💪

As the Facilities & Estates Manager, your mission is to ensure the effective and efficient management of boxxe’s estate, comprising office and warehouse locations across the UK. You will develop strategic improvement plans, oversee property maintenance, manage budgets, and ensure compliance with health, safety, security, and fire regulations. Your role is pivotal in maintaining high standards and fostering a safe, secure, and productive environment for our teams.

How you’ll fit in to the big picture ✨

The Estates & Facilities Manager is responsible for the comprehensive management of all boxxe estate currently 5 office and 2 warehouse locations across the UK., ensuring effective and efficient management. You will handle all day-to-day tasks related to estate and facilities management. You will be supported by the compliance team, the Estates & Facilities Manager will be responsible for managing and delivering all aspects of maintenance, site-based health and safety, fire safety, security, and facilities management in line with statutory and regulatory requirements as well as company standards.

What you’ll be doing 🎯

  • Evaluate all boxxe sites and propose strategic improvement plans
  • Create annual maintenance and improvement plans, coordinating with third-party contractors
  • Ensure compliance with health, safety, security, fire, and risk assessment standards
  • Maintain properties to compliant standards with reactive and planned maintenance
  • Oversee the facilities budget, ensuring cost-effective delivery
  • Manage relationships with external suppliers and contractors for best value
  • Regularly visit sites to ensure maintenance and compliance
  • Manage utilities provision (water, gas, electricity)
  • Maintain and insure key mechanical equipment (boilers, lifts, air-conditioning)
  • Monitor JIRA facilities service management system for issue resolution
  • Ensure estate led H&S, security and fire requirements are completed, documented and monitored appropriately
  • Monitor and ensure compliance with H&S, security, and fire regulations while assist in maintaining ISO standards (45001, 14001, 27001)
  • Ensure completion of mandatory compliance checks (legionella, PAT testing, gas, fire extinguishers)
  • Conduct fire risk assessments and manage policies and manage and update the company risk register

What experience we think you’ll need 🚀

  • Experience in estates and/or facilities management across multiple sites, including warehousing.
  • Ability to travel between York, Kettering, Manchester, and London.
  • Experience managing third-party contractors.
  • Ability to plan and adhere to budgets, negotiating best value deals.
  • Willingness to be hands-on when necessary.
  • Strong communication skills for internal and external interaction.
  • Understanding of estates/property compliance, especially H&S and Fire Regulations.
  • Proactive self-starter who collaborates to raise standards.
  • Recognized Health & Safety qualification (e.g., IOSH Managing Safely, NEBOSH General Certificate).
  • Understanding of compliance requirements in warehouses and office buildings.
