Short Summary of role
Reporting to the Head of Global Mobility and with a dotted line to the Payroll Manager this position is a key member of the Global Mobility team. The post holder will be the in-house specialist responsible for the expat payroll, partnering with our external providers to ensure the timely, accurate and compliant payment of our internationally mobile workforce. You will coordinate the input, communication and queries surrounding monthly instructions and reconciliations for a population of approx. 120 expats. Key Responsibilities

You will coordinate the input, communication and queries surrounding monthly instructions and reconciliations for a population of approx. 120 expats.

Your key contacts in this role will the Global Mobility Team, Expat Tax Manager, External payroll providers and the Payroll Manager. In this role professionalism is critical as you will regularly deal with sensitive and confidential issues. You will be expected to work in accordance with FT policies and ensure alignment to the FT’s values.

  • Manage the process of delivering expat pay instructions to external provider each month. This includes the generation of reports from Assignment Pro, managing the checking and approval process within the GM team, uploading of data to provider portal and handling subsequent queries.
  • Load new starter and leaver information on to payroll provider portals for UK and US expats.
  • Partner with Global Mobility Advisors, Expat Tax Manager to ensure all pay instructions are communicated accurately.
  • Manage communication between expat and domestic payrolls ensuring seamless transition between the two at the start and end of assignments.
  • Ensure appropriate reconciliations are performed and follow up actions are managed or escalated as appropriate.
  • Log and track all payroll queries, providing an excellent query management service to employees on the expat payroll, Global Mobility and HR teams, ensuring quick resolutions, clear communications and a consistent approach.
  • Coordinate the agreement of the annual global payroll calendar between all parties.
  • Partner with the Expat Tax Manager on end of year benefit reporting requirements.
  • Manage necessary processes created as a result of local regulations / legislation (e.g.auto-enrolment in the UK), working with the appropriate parties to determine the most suitable way of accommodating the change.
  • Manage projects relating expat payroll and suggest areas for process improvement.
  • Participate in other Global Mobility and Payroll activities and projects.

Skills and Qualifications

Essential

  • Experience of end to end payroll processing from data entry to reconciliation and compliance checking with a good working knowledge of the complexities of expat payroll.
  • Understanding of typical expat compensation structures, e.g. home / host paid, tax equalisation.
  • Experienced at developing innovative solutions to problems and implementing change.
  • Proficient in interpreting payroll rules and regulations.
  • Accurate and methodical worker with excellent attention to detail.
  • Ability to summarise, analyse and interpret complex data and communicate this simply to meet the needs of a diverse audience.
  • Experience of directly dealing with employees with regards payroll queries and reconciliations.
  • Excellent IT skills and demonstrable experience of using Excel spreadsheets at an advanced stage.
  • A good knowledge of payroll systems, taxation and social security rules.
  • Ability to work to and meet multiple and tight deadlines.

Desirable

  • Working knowledge of ADP iHCM and ADP streamline.
  • Experience using Assignment Pro software.
  • Experience in a media or digital environment.
  • Experience of other Global Mobility activities.
