About the Role

This role sits in the Product and Technology department and within the Delivery team. The role is initially on a 6 month fixed-term contract, but there is a good opportunity for it to lead to a permanent placement.

About the team

The Portfolio Management Office (PMO) is the information hub for all technology investment projects at the Financial Times.  The primary function of the PMO at the FT is to track the spend against assigned budgets within the various Technology Groups (portfolios). To do this, they will maintain very strong communication links with the Delivery teams and in particular the Directors of Delivery.  Being able to provide accurate and up to date management reporting on spend, budgets and resources to the delivery teams is a key requirement of the team.

A secondary function is to provide wider support to the delivery teams around the various processes and policies associated with project delivery , including the quarterly orchestration of the department’s OKR process and the tracking of these.  At various points they have also been involved with project risk issue management, and admin assistance for the delivery team’s tracking tool, Atlassian Jira and its internal data driven delivery reporting platform.

Finally, the PMO is responsible for all portfolio level spend reporting, both to Product and Technology senior management and also periodically to a subset of the FT Board. 

 

Main Responsibilities

As a PMO Analyst you will 

  • Ensure project supplier forecasts are accurate
  • Maintain project resource allocations and resource management via timesheets. Constantly review spend patterns across projects, groups, outcomes and investment type (operational  / capitalisable expenditures)
  • Process and log supplier invoices 
  • Provide a regular reporting service to the groups you are responsible for which will track spend against forecast, budgets and investment outcomes
  • Work with other PMO Analysts on a day to day basis to ensure project financials are accurately tracked and not duplicated.
  • Actively listen on the PMO support channels,  to assist the delivery teams in all the processes around delivery management including resources, timesheets, spend and supplier contract creation and renewal
  • Work with the delivery teams to translate investment money into defined projects that can be capitalised and assign an investment outcome to them.  Setup these projects and track both their spend and their deliverables throughout their lifecycle until project closure
  • Continually identify key areas of improvement in current processes
  • Help to manage a group/portfolios Objectives and Key Results (OKR’s)
  • Learn to interrogate the Delivery team’s data-driven-delivery reporting platform and report on interesting trends in related data back to the delivery team(s)
  • Maintain and update all supporting documentation on the delivery process at the FT - including process documents and how-to-guides.

 

Required Skills / Experience 

  • Previous experience working in a project support role or ideally a PMO role
  • Proficient in using and reporting using spreadsheets to present management level information - MS Excel or ideally Google Sheets
  • Basic understanding of company financials and CapEx accounting rules
  • Self-motivated, ability to operate on own initiative with minimum supervision and a high level of attention to detail especially on repetitive data based tasks
  • Good time management skills
  • Able to build relationships, especially with Senior members of the delivery teams.
  • Demonstrate effective interpersonal & communications skills both verbal and written

Desirable

  • Experience of running and building Salesforce Reports
  • Experience of using the FinancialForce Professional Services Automation (PSA) module OR
  • Experience of any Project Portfolio Management (PPM) tool
  • Understanding of Project Management Methodologies (Prince2, Agile)

How we work

We offer a strict 35 hour working week to all staff in our London office. Our hybrid setup means staff are expected to come into the office 2 days a week on average. We operate flexibly and thus this 2 day a week figure should be taken as a general ratio of the time you will spend in the office.

Our office is located across the street from St. Paul's Cathedral and is easily accessible from all corners of London. There are the main train terminals such as Liverpool Street, Moorgate, Blackfriars, City Thameslink or Waterloo all situated within walking distance or there are several tube stations within a few mins walk such as Mansion House (District or Circle line), St. Paul's (Central line), Bank (Central or Waterloo & City line) or Barbican (Central, Hammersmith & City or Metropolitan lines).
