About the role (Role Objectives): 

Together with GoToko, as a member of the CEO Team, you’ll be responsible to assist Chief of Executive Officer (CEO) in administrative duties including schedule management, meeting arrangements, maintain documents, and records, liaise with other departments and external parties as well as supporting the department in administratives or other necessary duties. With your help in providing executive assistance support, we’ll be able to reach our company goals in no time! You may need to come to the office every now and again to finish certain tasks that require physical collaboration, but other than that, you can get creative about your workplace, as long as it’s in Jakarta or Bali!

 

What you’ll do (Key Responsibilities): 

  • Provide full secretarial, operational and administrative assistance to BOD such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf
  • Managing the executive’s calendar, including making appointments, and prioritizing the most sensitive matters
  • Plan, organize, arrange, coordinate in all aspects for on and off-site company meetings and events
  • Handle flight, hotel, visa or ground transportation travel requests (including visa applications) and manage individual expense claims with multi-currencies
  • Other ad hoc duties as assigned including managing office events, personal assistance for BOD, etc
  • Coordinate with People Experience and Legal Department to arrange signing of documents 

 

What criteria you’ll need to fulfill (Requirements):

  • Bachelor's degree
  • 3-5 years of experience assisting at the leadership level
  • 3+ years of experience with the Microsoft Office Suite and Google Suites
  • Fluency in English
  • Able to speak and write English fluently to collaborate with the multinational teams
  • Excellent planning, time management, and tech savvy
  • Fast learner, positive working attitude and a strong team player
  • Ability to work independently and multi-task in a fast-paced team environment
  • High level of integrity and discretion in handling confidential information and managing multiple stakeholders
