OVERVIEW:

As Personal Assistant to the NAM Leadership team, your role will be to help optimize their time, to provide the maximum efficiency and effectiveness for them to perform in role. Alongside this you will manage the New York Office and suppliers. 

On a day-to-day basis, you will help to prioritize activities, identifying those with the biggest impact. No day will be the same, responsibilities spanning from diary management across multiple time zones, to planning complex travel around the globe, and the detailed agendas to accompany these trips.

Please note this is a hybrid role partially based in our New York City office. All candidates must be local or willing to relocate. You must also be authorized to work in the United States. 

WHAT YOU'LL BE DOING:

Responsible For:

  • Handling and responding to all correspondence including phone calls, emails and letters
  • Scheduling appointments and organising diary entries
  • Setting reminders for meetings, appointments and other important tasks
  • Making travel and hotel arrangements
  • Planning conferences, workshops, seminars and other events
  • Taking notes at meetings, preparing the minutes and subsequently distributing to all participants
  • Liaising with other members of staff and external parties such as clients and press
  • Preparing expense reports and maintaining a filing system
  • Sourcing providers and suppliers, and negotiating terms
  • Greeting and liaising with guests
  • Taking inventory of office supplies and order more if needed
  • In conjunction with global facilities team helping establish and maintain office procedures

WHAT YOU'LL NEED:

Essential Skills & Experience:

  • Proven experience as a Personal Assistant to Executives. 
  • Strong verbal and written communication skills, with the ability to adapt messages/tone of voice to differing audiences
  • Proven experience in complex diary management across multiple locations, with differing time zones
  • Ability to build long lasting, trusted relationships with all levels of the business
  • Proactive and forward-planning, with the ability to work autonomously
  • Experience of dealing with multiple critical demands from global teams
  • Will have exceptional attention to detail and be an experienced planner with the ability to respond effectively and efficiently to change, all whilst remaining composed, with a good sense of humour
  • Proven record of managing large amounts of confidential or business sensitive information, with an awareness of data protection
  • Comfortable with technology with an advanced knowledge of Microsoft Office Suite
  • A highly structured, and methodical approach to co-ordinating tasks and anticipating future requirements
  • A collaborative team player, always going above and beyond, and offering support to others where needed
  • Worked within a fast-paced global brand or equivalent industry
  • Previous experience working with Notion & Slack 
  • Experience supporting executives for global brands

This role has a salary range between $65,000-$75,000. The base pay offered is based on market, experience, and skills.
