A little about the  role


We are looking for an Executive Assistant to support the Chief Product Officer (CPO), his senior leadership team (CTO, VP of Ops, and various heads of departments), and the greater org consisting of Design, Operations, Product Management, Programme Management, and Engineering. The Org’s mission is to deliver the internal and external tools and experience necessary to enable the business to innovate in the Capital Markets space. We believe in building products that scale, are automated, and ensure compliance. As a key member of the team you will get the unique opportunity to enable rapid growth and help organize a fast moving team. You must be a highly collaborative individual, with a strong get stuff done mentality.

Key Responsibilities 

  • Organising the senior leadership team including meeting preparation, agenda setting and ensuring follow-through on actions and initiatives.
  • Provide the senior leadership team with background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, interviews, etc.
  • CPO’s Team Admin (e.g. general admin, executive expenses, team socials, onboarding, and general team happiness).
  • Diary Management for the CPO and their senior leadership team (eg. CTO, VPs, etc).
  • Working closely with the Office Manager in defining and driving physical space needs (e.g. desk planning, collaborative spaces, offsite workshop locations, etc).
  • Pre-work with various leads to keep a message on track and deliver consistent updates and critical information where it needs to go.
  • Office POC for Product Teams.
  • Supporting Team communication throughout the org and wider company (e.g. organizing newsletters, ensuring docs/policy updates/critical information is distributed).

You will be successful in the role if 

  • Have experience in being an EA - you’ve supported a C-Suite at a dynamic and growing company. 
  • Are a Team player - you see your work as part of the team’s overall plan, and within that you’re happy driving your own initiatives and supporting team members with theirs.
  • Have attention to detail - you value getting things right and being able to tie the details back to the bigger picture.
  • Have an Ownership mentality - don't just execute what's asked of you, but question whether we've asked you the right question or if it could be done a better way.
  • Have at least 7 years’ or more experience - as an EA, having worked for a FinTech or in a Finance company is a plus.
  • Have experience in the challenges that executives face in their day to day job. Especially identifying trends or important information that needs to be surfaced to the executive team.
  • Have the ability to support the wider team, focusing time and effort on team culture. 
  • Make high quality decisions at speed taking into account dedication of time, resources, and available data.

Interview Process

First Stage: 

This will be an initial screening call with team to understand more about your experience and what you are looking for in your next role. It is also an opportunity for you to get to know the team, the business etc.  Our hiring manager loves it when a candidate comes prepared, hence we recommend you do your research on the company, the role etc. 

Technical Interview

This is an in-depth interview to talk at length about your experience. At this stage, you will also get to know about the potential projects you could be involved in. Every interview we conduct is an opportunity for you to assess the role, the business and the team and see how aligned it is with your career goals and plans, hence please do come prepared with lots of questions.

Final Interview - Values Interview

You will be meeting with some of the members of the PrimaryBid team. It is an informal call for other teams, who you will possibly be working closely with to get to know you and the values you believe in. The objective of this interview is to understand if your values are aligned with that of the team and the company overall.
