About The Role
As an Operations Assistant, we count on you to help shape and run our office in London. We need a proactive, collaborative and highly organised individual to support our fast-growing team here! This position is fully office-based, requiring on-site presence during all working hours.
This person will be responsible for supporting several areas, including, but not limited to, the responsibilities listed below.
Your day-to-day responsibilities will look like this:
- Be the first point of contact for the London office operations and processes;
- Provide admin and operational support to the People Operations team across the entire employee life cycle (from onboarding to offboarding);
- Build and nurture relationships across teams and stakeholders, fostering a collaborative community while effectively navigating diverse perspectives;
- Monitor office processes and policies in place to improve operational efficiency;
- Develop efficient workflows and thorough documentation to create and maintain actionable knowledge resources;
- Manage office provisions and stock, reviewing and tracking inventory;
- Manage relationships with service providers;
- Maintain a safe and secure working environment by managing Health and Safety;
- Organise and assist with team/company events;
- Coordinate meetings, appointments, and travel arrangements;
- Facilitate internal employee communications;
- Reception cover;
- Ad-hoc office duties.
You’ll have the following skills and experience:
- Excellent time management skills and ability to multitask and prioritise work;
- Strong process-oriented mindset with excellent organisational and planning skills in a fast-paced environment;
- Excellent written and verbal communication skills in English – you’ll need to be communicating with all areas of the business;
- Great attention to detail, with strong analytical and problem-solving skills;
- Ability to anticipate needs and take initiative;
- Experience with overseeing office operations, supplies, and equipment;
- Proficiency in Microsoft Excel or Google Sheets;
- Experience using Notion for project management, database creation, and team collaboration;
- A creative mind with an ability to suggest improvements.
