Job Title - Credit Collections Analyst


The Collections Analyst is responsible for managing and executing the collections process, ensuring timely payments from customers, and maintaining accurate accounts receivable records. This role involves analyzing customer payment trends, resolving disputes, and working closely with internal teams to ensure smooth financial operations. The Collections Analyst will also contribute to process improvements and provide regular reports to management.

Key Responsibilities:

  • Collections Process:
    • Monitor and manage assigned accounts receivable portfolio to ensure timely collection of outstanding invoices.
    • Proactively manage and collect payments on outstanding invoices within the specified payment terms.
    • Work with the Shared Services team to ensure timely allocation of cash and well-defined sub ledger housekeeping.
  • Customer Relationship Management:
    • Maintain strong relationships with customers to facilitate timely payments and resolve any disputes.
    • Provide account statements and payment histories to customers upon request.
    • Address customer enquiries regarding billing and payment processes, ensuring clear and professional communication.
  • Withholding Tax Compliance:
    • Ensure accurate calculation, documentation, and reporting of withholding taxes on applicable invoices.
    • Collaborate with the tax department to stay updated on withholding tax regulations and ensure compliance.
    • Assist in the preparation and submission of withholding tax returns in accordance with local regulations.
    • Provide withholding tax certificates to customers as required and manage their retention for audit purposes.
  • Data Analysis and Reporting:
    • Analyze payment trends, aging reports, and other relevant data to identify high-risk accounts and recommend actions.
    • Prepare and present regular reports on collections status, aging receivables, cashflow and performance metrics to management.
  • Process Improvement:
    • Identify and recommend process improvements to enhance efficiency and effectiveness in the collections process.
    • Collaborate with cross-functional teams, including sales, customer service, and finance, to address and prevent issues that impact collections.
  • Compliance and Documentation:
    • Ensure all collections activities are compliant with company policies and relevant legal regulations.
    • Maintain accurate and up-to-date records of all communications and actions taken on customer accounts.

Qualifications:

  • Education: Bachelor’s degree in finance, Accounting, Business Administration, or a related field preferred.

  • Experience:
    • Minimum 3 years of experience in accounts receivable, collections, or a similar financial role.
    • Experience in analyzing financial data and preparing reports.
    • Experience in handling collections accounts in foreign languages environment is necessary.

  • Skills:
    • Strong analytical skills with the ability to interpret and act on financial data.
    • Excellent communication and negotiation skills.
    • Proficiency in Microsoft Office Suite, particularly Excel.
    • Experience with ERP or accounting software (e.g., SAP, Oracle, QuickBooks) is a plus.
    • Attention to detail and ability to manage multiple tasks simultaneously.
