About the role

The Onboarding Specialist is responsible for managing the entire employee journey, from onboarding to offboarding. This includes overseeing the onboarding process, handling offboarding tasks, and drafting Employment Contract (EC) amendments. Ensuring compliance with policies and regulations, they collaborate with internal and external stakeholders to streamline processes and enhance the overall employee experience.

Your day-to-day

  • Oversee the global onboarding process, including collection and verification of employee data, completion of onboarding documents, and setup of payroll and benefits enrollment.
  • Collect and verify international employment documentation, such as work permits, visas, and tax forms.
  • Draft employment contracts using in-house templates and coordinate reviews with clients and employees, addressing any queries with support from the Legal team and CountryPedia.
  • Manage amendments to contracts post-onboarding throughout the employee lifecycle.
  • Serve as the main point of contact for international clients, guiding them through global onboarding complexities and providing ongoing support and consultation.
  • Ensure compliance by accurately completing and filing all legal and regulatory documents, maintaining precise and confidential records of all client and employee information.
  • Communicate clearly about the onboarding process, timelines, and requirements to clients and employees, and provide training on the Horizons platform, policies, and procedures.
  • Develop and sustain strong relationships with clients, acting as their primary contact for onboarding-related inquiries and collaborating with internal teams to meet client needs.
  • Continuously evaluate and enhance the onboarding process to improve efficiency and client and employee satisfaction, offering feedback to optimize internal systems.
  • Monitor compliance with employment laws and regulations, stay informed about legislative changes, and communicate pertinent updates to clients and internal stakeholders.
  • Address and resolve onboarding issues promptly, using problem-solving skills and involving your manager in high-risk situations.
  • Understand and manage client and employee expectations regarding employment contracts, promoting minimal changes to contract templates.
  • Support the global expansion team in transferring employees to in-house entities, coordinating with stakeholders to ensure compliance and a smooth transition.
  • Participate actively in team meetings, preparing as needed to contribute effectively.
  • Utilize internal CRM systems for effective communication with clients and employees and promote a transparent, knowledge-sharing culture among colleagues.
  • Prepare initial debit notes, follow up for prompt payment, and coordinate with the finance team to track and resolve outstanding payments.
  • Conduct check-ins with employees and clients after the first payroll cycle to gather feedback, address concerns, and collaborate on solutions tailored to their needs.

  • Be proactive, checking in often to keep the onboarding process moving fast.
  • Prefer experience in managing global benefits.
  • Have a Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent experience.
  • Have experience in onboarding or HR, especially in an Employer of Record (EOR) or Professional Employer Organization (PEO) environment.
  • Know employment laws and HR practices locally and internationally.
  • Be detailed and organized to manage onboarding tasks well.
  • Have strong analytical skills to identify and tackle problems effectively.
  • Know how to use HR software and CRM systems like Freshdesk, HubSpot, and Confluence.
  • Work effectively in a fast-changing environment.
  • Collaborate across various departments to ensure a seamless onboarding experience.
  • Deliver excellent client service and provide solutions that meet their needs.
  • Be culturally aware and able to work with diverse clients and employees.
  • Act professionally and maintain confidentiality in all dealings.
