On-Boarding & Assurance Officer - Permanent, Hybrid, London

 

The Onboarding & Assurance Officers are responsible to the Onboarding & Assurance Manager for the provision of general business management support to the whole of the Onboarding and Assurance Teams, and ownership of a variety of Assurance processes that align to the Third Party and Assurance teams.

 

Key Accountabilities

 

  • Provides business management support to the On-boarding & Assurance and the management team.
  • Provides business management support for the Third-Party Assurance function in On-boarding & Assurance, specifically the Bacs Approved Bureau Scheme (BABS), including undertaking a number of processes (Closing Bureaux, Change of Name, Change of Sponsorship Bank, Annual Compliance Statement, Invoice & Billing, ad-hoc projects), updating the database and assisting with management of annual and ad-hoc invoices, emails and reporting as required.
  • Co-ordinates the Managers’ electronic diaries.
  • Be responsible for the management of meetings with On-boarding Customer, and Customer assurance related meetings, including room bookings, drafting and agreeing agendas, following up on actions and, where appropriate, taking minutes of the meeting.
  • Tracks and follows-up progress of actions arising from relevant committees, internal audits, and risk reviews to facilitate completion within agreed timelines.
  • Supports any ad hoc projects as required by the Onboarding & Assurance Manager.
  • Supports the Onboarding & Assurance Manager with any ad-hoc duties and provides suitable cover when on annual leave.
  • Maintains and enhances an excellent working relationship at all levels with other colleagues and new / existing Customers both internally and externally.
  • Undertakes the less complex assurance reviews and communicate with customers as appropriate including meetings, report writing and process documentation.
  • Supports the maintenance of Accreditation and Assurance workplans, and the Assurance Business Plan.
  • Supports Assurance Auditors in the delivery of Accreditation and Assurance activities, and lead on specific areas of more prescribed services.
  • Productions of standing management and ad-hoc reporting, including Accreditation and Assurance workplan updates, key performance indicators and risk.
  • Assists with the Customer follow up process; checking progress Participants are making against their non-compliances arising from Assurance reviews.
  • Attends stakeholder meetings which review open non-compliances and take an active part in those meetings.
  • Maintains Accreditation and Assurance materials, recommending new approaches to enhance the efficiency and effectiveness in the interest of all stakeholders.
  • Provides an administrative function for the planning and implementation of new Accreditation and Assurance work programmes.
  • Coordinates responses to requests for Assurance information from other departments within Pay.UK and external stakeholders and write reports as appropriate.
  • Effectively monitor and mitigate risks at a process level and be able to articulate those risks at Directorate level.

 

Skills, Experience & Qualifications 

 

  • Experience of working with UK retail payments systems (Bacs, Faster Payments).
  • Excellent customer service/relationship management skills.
  • Relevant level of IT skills to perform the role (SharePoint, Database Management, Core MS Applications).
  • Needs to be a self-starter and to look for opportunities to support the team and wider directorate.
  • Good organisation and time management skills. An efficient multitasker with the ability to effectively manage competing priorities.
  • Ability to communicate and contribute effectively to both internal and external stakeholders and in meetings with excellent interpersonal skills.
  • Strong attention to detail, with a sharp eye for accuracy.
  • Administrative experience gained in Financial Services.
  • Operational experience gained in Financial Services would be beneficial
