The role of Reception & Office Executive will be to oversee the efficient functioning of the Dermalogica UK headquarters. The role will be responsible for managing and coordinating various administrative tasks and ensuring the smooth operation of our office. The Reception & Office Executive will be the welcoming face and first point of contact for our organisation, providing exceptional customer service and creating a positive experience for our stockists, visitors, and employees.

This role will be office-based Monday – Friday and cover the hours of 8: 00am – 16: 00. Flexibility regarding hours will occasionally be required. This role works closely with Facilities Manager. The role will report to the Facilities Manager.

The responsibilities of the Business Account Manager…. Could this be you?

Front Desk Operations:

  • Ensure a warm, enthusiastic greeting for all visitors, stockists, and employees maintaining a positive and helpful attitude while assisting visitors and employees with their needs, striving to create a welcoming and inclusive environment for all visitors and staff maintaining a professional atmosphere,
  • Partner with the Education Success Advisors in maintaining the reception and student area, ensuring positive brand representation, ensuring the spaces are organised, and well-stocked with necessary supplies.
  • Via the Sign-In-App, issue visitor badges, and ensure compliance with security procedures.
  • Issue parking permits as needed.

 

Communication and Correspondence:

  • Handle all incoming and outgoing mail, packages, and deliveries, promptly informing relevant teams to collect their packages. Effectively monitor postage costs ensuring that relevant departments are cross charged.  All packages must be removed by the end of each day.
  • Facilitate deliveries to and from the DDC to Head office.
  • Respond to enquiries and provide information about the Head Office services, products, or procedures.

 

Office Operations:

  • Open the Manser House office each day and carry out start of day procedures, to include disarming the alarm, daily opening and closing of the flood door, preparation of the coffee machine, lighting, and music.
  • Monitor & manage requirements for office consumables / supplies and items required to order.
  • Manage the kitchen areas keeping them organised, and well-stocked with necessary supplies.
  • Manage & maintain organisation of the post and stock room.
  • Assist with the coordination of office events, meetings, and conferences.

Facilities Maintenance:

    • Support and actively monitor and respond to facilities queries via the Facilities mailbox, Facilities maintenance ticketing service and support as part of the team, with raising POs, following through on invoicing and all day-to-day enquiries.
    • Supporting the Facilities Manager with the booking in of any contractors used at company sites/ locations and ensuring all works have been completed to a good standard

Do you have the below skills?

  • Experience of operating in a similar role is essential.
  • Demonstrable experience of working autonomously and making decisions.
  • Confident dealing with managers, employees, and suppliers at all levels
  • Highly computer literate; experience operating with all Microsoft Officer software.
