The HR Operations Specialist is accountable for delivering efficient and precise administrative support for the APAC region. Key responsibilities include managing employee data, processing payroll, administering benefits, and assisting with both onboarding and offboarding procedures, along with supporting various projects and initiatives. This position reports to the People Partner (APAC) and will work closely with the HR Shared Services teams to ensure global consistency.
Main Responsibilities
- Accurately and timely updating and maintaining HR records, files, and databases, including performance reviews, attendance and leave management, maintaining an organized system for paper and electronic records.
- Performing activities within the HR Operations function, throughout the lifecycle of employees from onboarding to offboarding employees which include health insurance, leave entitlements, etc.
- Ensuring routine weekly & monthly HR reports: employee timesheets, headcounts, BPJS registration, etc. are regularly updated.
- Preparing and distributing a variety of routine correspondence to employees, explaining HR policies and procedures, providing forms and information, when necessary, via JIRA ticketing system.
- Monthly Payroll administration, working hand in hand with Finance to ensure that key information such as joiners, leavers, employee changes are processed by Payroll in an accurate and timely manner.
- Benefits administration including responding to employee questions.
- Managing non-standard leave updates in HRIS and responding to leave questions from employees.
- Being the first point of contact for employees regarding HR topics such as policy questions and either responding or passing on the question to the appropriate person and keeping the employee informed.
- Actively participate in various HR projects and initiatives, providing administrative support as needed
- Collaborate with the HR team to implement new processes or systems.
- Performing other duties as assigned.
Qualifications
- Minimum Bachelor’s degree, preferably in Business Management, Human Resources, Psychology, or other related disciplines
- Minimum 1-2 years of HR experience (exposure to HR Operations preferred)
- Excellent communication (written and spoken) skills along with advanced proficiency in English
- Hands-on experience with MS Office (Excel, PowerPoint, Word & Outlook), must be technologically savvy; experience using Workday HCM is highly desirable
- Must be able to excel in a fast-paced, demanding work environment while anticipating the needs of HR People Partner (APAC) and all relevant stakeholders
- Good problem-solving skills
- Experience working in an international environment preferred
- Strong attention to detail, highly organized and the ability to multitask
- Knowledge of employment laws and regulations.
